Terms & Conditions

These Terms and Conditions apply to all musical entertainment bookings, live performances, and event agreements arranged with Phill Wildman Music. By securing a booking, you agree to the following professional terms.

1. Booking & Cancellation Policy

1.1. Securing the Date: A formal booking is only created once a written contract is mutually agreed, signed digitally by both parties, and the non-refundable Booking and Administration Fee is cleared (£150 for Silver / £200 for Gold / £300 for Platinum). This fee covers immediate administrative costs, onboarding consultation time, and the operational expense of reserving the calendar date. A provisional enquiry only secures your requested date for 14 days. For weddings and private events, the final remaining balance must be paid in full no later than 30 days prior to the event date.

1.2. Cancellation Notice: All cancellations must be submitted in writing via email directly to music@phillwildman.co.uk.

1.3. Cancellations 60 days or more before the event: The flat Booking and Administration Fee is retained by the Musician to cover administrative costs and loss of booking opportunity. All other fees paid will be refunded.

1.4. Cancellations 30 to 59 days before the event: The Booking and Administration Fee is retained, and the Client is liable for 50% of the total remaining balance.

1.5. Cancellations 29 or less days before the event: The Client is liable for 100% of the total contract fee.

2. Force Majeure & Performer Illness

2.1. Force Majeure: Neither party shall be liable for failure to perform duties due to acts of God, national emergencies, government restrictions, or severe weather preventing safe travel.

2.2. Postponements: If the event is postponed due to Force Majeure, the Musician will apply all paid funds to a new date within 12 months, strictly subject to calendar availability.

2.3. Performer Absence & Vocal Strain: In the highly unlikely event that the Musician cannot fulfil the booking due to sudden severe illness, injury, or emergency vocal strain/loss of voice, the Musician will make every professional effort to find a comparable replacement. If no suitable replacement is found, a 100% refund of all monies paid will be issued immediately.

3. Payment Terms & Logistics

3.1. Payment Due Date: For wedding and private events, the final balance is due 30 days prior. For contracted Care Home and corporate bookings, payment terms shall be as agreed upon in the individual booking contract or invoice.

3.2. Fees and Travel: The quoted fee covers travel within 20 miles of Basingstoke, Hampshire. Travel outside this radius will be subject to a mileage charge of £0.45 per mile.

3.3. Overtime: Any performance extension is subject to venue curfew and performer discretion, charged at £50 per 30 minutes, invoiced separately.

4. Venue, Power & Safety

4.1. Technical Requirements: The Musician provides a full professional PA system and performer lighting. The Client must provide a safe, dry power source within 5 metres of the performance area (minimum of two grounded electrical outlets). The Musician reserves the right to refuse to plug in equipment if venue wiring appears unsafe or fails local safety regulations.

4.2. Environmental Protections: For outdoor sets, the performance area must be completely sheltered from rain, direct sunlight, and extreme wind. To safeguard vocal health and equipment, the performance space must remain smoke-free, including the close-proximity use of artificial fog, haze, or vape products.

4.3. Safety Certification: All equipment is PAT tested and covered by Public Liability Insurance (PLI). Certificates can be provided upon request.

5. Conduct, Supervision & Health Closures

5.1. Client Communication and Conduct: The Musician operates a zero-tolerance policy regarding abusive, harassing, threatening, or deeply disrespectful communication during the planning process. If written or verbal behaviour compromises professional safety, the Musician reserves the right to terminate the contract immediately, retaining the administrative booking fee.

5.2. Right to Suspend: I reserve the right to stop the performance immediately if the environment becomes unsafe, aggressive, or if I experience verbal abuse or unwanted advances from guests or staff; the full fee remains payable and the Musician may leave the premises safely.

5.3. Care Environment: Facility staff must remain responsible for the care and supervision of residents during the performance.

5.4. Facility Health Closures: In the event of a mandatory care home lockdown, outbreak, or health-related facility closure preventing the performance, the Musician agrees to waive cancellation fees and will work with the facility to reschedule the performance at no additional cost.

6. Package Specific Inclusions & Repertoire

6.1. Repertoire Constraints: Live performances are strictly drawn from the official repertoire list published on the website. The Musician does not provide ceremony performance services. Silver and Gold packages are restricted entirely to the published list.

6.2. Silver Package (£550): Includes 1 x 45-Minute Evening Set (Set 3) right at the peak of the night, leading into a seamless 10:00 PM handover to your DJ. Arrival is from 18:00 for turnaround setup.

6.3. Gold Package (£695): Covers the entire early evening. Includes 2 x 45-Minute Evening Sets (Classic swing warm-up Set 2, and final high-energy party Set 3) concluding at 10:00 PM. Arrival is from 18:00 for turnaround setup. Includes an interval playlist during the break.

6.4. Platinum Package (£1,150): The ultimate all-day soundtrack. Everything in Gold, plus an afternoon live lounge vocal set (Set 1) to soundtrack your drinks reception, early load-in, wireless microphone for speeches, and background dining music. Includes a complimentary bespoke First Dance learning service, strictly limited to a maximum of one (1) unique song request outside of the published repertoire list, submitted in writing at least 60 days before the wedding date.
